What is the difference between windows search and document management software.?
i feel i can use windows search to find my folders and files etc., what way document management software is better than windows search.
what way DMS will help me
DM s/w wil ‘force’ you to index and save (organise) your documents eg. into specific folders & sub-foilders … DM s/w will also impose default ‘security’ settings on documents (typically, by default, only you, the author, will be permitted to modify a doc., others only view). Users will be given ‘roles’ (access rights) such as ‘Authors’, ‘Reviewers’, ‘Editors’, ‘Publishers’ ..
Good DM s/w also tracks different ‘versions’ of the same document, tracks all user access and maintains an ‘audit trail’ of who changed what and when ..
Clever DM s/w may also allow ‘workgoups’ to be set up along with a ‘processing sequence’ that controls a dcoumets ‘life cycle’ .. (with things like eMail notification that you have been ‘sent’ a new document for ‘review’ or ‘approval’) .. and finally good DM s/w will have an ‘archiving’ system and a ‘end of life’ process (‘deletion’ system to get rid of all those incriminating eMails).
